The Avenue LTS&FC – Photography and Video policy in respect of children under 18 and vulnerable adults
This policy forms part of the Safeguarding arrangements at The Avenue LTS&FC
Introduction
The Avenue LTS&FC recognises that parents, carers and spectators may wish to photograph their children, relatives, friends, or clients participating in Club activities. However, in order to safeguard children under the age of 18 and vulnerable adults certain controls are required.
Managing the taking of photographs and video recording
In order to manage photography and video recording, any user of photographic equipment or equipment capable of taking or recording images at an event must register with the event organisers beforehand.
It is not uncommon for coaches to wish to take photographs or record activities for training purposes. Where Avenue coaches or officials plan to take photographs for training or publicity purposes, they will advise parents, carers etc in advance and seek written consent to do so and as appropriate upload images to the Club’s or their organisation’s social media platforms.
At an event, or at an Open day or similar, notices will be displayed to remind participants and spectators that photographs and/or video recordings are planned. If parents or carers object to these activities, then their children or clients will not be photographed or be part of any video recording.
Where parents wish to take photographs of their children participating in the Club’s activities, they are asked to respect the privacy of others e.g. by avoiding capturing images of others in the background.
If anyone has concerns about unauthorised photography or video recording this should be reported to the event organisers, club officials, coaches or Welfare officers immediately.
Image and video content
To meet safeguarding requirements:
- All children featured must be appropriately dressed i.e. wearing t-shirts and shorts or skirts/dresses that cover the torso from neck to thighs
- The focus of images should be tennis and other sports and social activities offered at the Avenue
- Where possible images should involve groups of children or adults, rather than individuals
- Images should be representative of diversity at the event with regard to age, gender, ethnicity and disability
Any inappropriate use of images should be reported to The Avenue’s Welfare officers or the LTA Safeguarding Team and the Police.
Publishing images
Where the Avenue LTS&FC or its coaches intends to publish or upload images featuring children or vulnerable adults this will only be carried out where written consent has been given by appropriate adults. Images will be chosen with care to meet safeguarding standards.

This policy will be reviewed every two years, or earlier if there is a change in national legislation and/or guidance.
